flowhandled · operations automation
For bookkeepers, clinics, property managers, logistics
Your paperwork, typed by nobody.
Invoices, intake forms and delivery notes get read, checked and filed into the
system you already use. No retyping. No copy-paste. No new software to learn.
200–5,000 documents a month
Live in about 2 weeks
Fixed price, quoted up front
Runs on your accounts
See it work on your paperwork before you pay anything
Not a demo with sample documents. Yours.
- Send me 10 real documents — invoices, forms, whatever is eating the week.
- Within 48 hours you get them back as a clean spreadsheet: every field you asked for, filled in.
- You judge it yourself. If it isn't close to right, you've lost nothing but the email.
What actually happens
STEP 1
Read
Digital PDFs read directly. Scans and phone photos go through text recognition first.
STEP 2
Extract
A fixed list of fields you choose — vendor, date, invoice number, line items, tax, total —
pulled into the same structure every time.
STEP 3
Check
Rules test every result: do the lines add up to the total, is the date real, is this
invoice already in the system. Anything doubtful goes to a review list, not your books.
STEP 4
Deliver
Clean rows to Excel, Google Sheets, QuickBooks, Xero, your CRM, or an import file —
with the original document attached to each record.
Scope
Included
- Up to 3 document types in the base build
- Trained on your actual documents, not a template
- Connection to up to 2 of your existing apps
- Your field list, your validation rules, your file naming
- Review queue for anything low-confidence
- Testing with you, on your data
- Walkthrough video and one-page documentation
- 30 days of fixes after launch
Not included
- AI and OCR usage charges — billed to your own account, roughly $0.01–0.05 per document
- Your existing software subscriptions
- Extra document types (quoted separately, ~1–2 weeks each)
- Handwriting at high volume, or destroyed scans
- Workflow changes after handover — that's the care plan
Price
Founding client rate — first three only
$1,500 fixed build
One price, one scope, one delivery date. No hourly meter, no change orders.
After the first three clients this is $2,500.
Optional care plan: $349/month — monitoring, fixes when a connected app changes,
rule and wording updates, one business day support. Cancel any month.
The other half — your leads
Someone fills in your form. How long until a human replies?
For most small businesses the honest answer is hours, or never. The lead cools, they call
the next company on the list, and the money you already spent getting them there is gone.
That is a plumbing problem, not a marketing problem.
- Reply in seconds. Every form, ad lead and missed enquiry gets a personal
first response immediately — by email, SMS, or both.
- Follow up without being asked. Quote chases, reminders, review requests
and database reactivation run on their own.
- Nothing sits in an inbox. Every lead lands in your CRM with the reply
already logged, so you can see what happened and when.
Same founding rate
$1,500 fixed build
Speed-to-lead and follow-up automation, connected to the tools you already use.
Fixed price, live in about 2 weeks.
Optional care plan: $349/month — monitoring, fixes, sequence updates, one business day support.
No ad spend, no copywriting, no live phone agents.
This fixes what happens after someone raises their hand — it does not buy you traffic.
Send 10 documents. Get a spreadsheet back.
That's the whole first step. No call required, no card, no commitment.

Send my 10 documents
Or just reply to my email with ten attachments. That's genuinely enough.
Questions
How accurate is it, honestly?
On clean digital invoices and consistent forms, typically 95%+ on the fields that matter.
On poor scans, handwriting and unusual layouts it is worse — which is why every build has a
review queue and validation rules rather than trusting the output blindly. You'll see the real
number on your own documents before you pay.
Do I have to change my software?
No. It writes into what you already use — Excel, Sheets, QuickBooks, Xero, a CRM, or an
import file your system accepts. If your system has no way to accept data, that's a
conversation before we start, not after.
What happens when something breaks?
Vendors change their layouts and APIs change without warning; that's normal. The build
includes error alerts so you hear about it before a client does, and the care plan covers
fixing it. Without the care plan, fixes are quoted per incident.
Where does my data live?
In your accounts, on your systems. The document processing runs under your own API keys,
so the data doesn't sit in a tool I own. If you stop working with me, everything keeps
working and you keep the code and the documentation.
Why is this cheaper than the agencies quoting $10,000?
Because I'm new and I'm buying case studies with the discount. I'm one person, not a team
with account managers. That's the trade — you get the same type of build at a founding rate,
and I get a reference. The price goes up after three clients.
